Privacy policy
Last updated: 23 October 2026
This policy covers clearedforsite.com, including Gatecard, Toolbox Talks and prequal packs. Our Australian SWMS service at clearedforsite.com.au has its own privacy policy. Cleared for Site is a trading name of Joe Acton, ABN 50 915 654 899, Brisbane, Australia. Contact us at hello@clearedforsite.com.
What we collect
- Early access sign-ups: your name, email, country, trade, crew size and the products you're interested in, plus the date you signed up and that you agreed to hear from us.
- When our products launch: the documents you choose to give us (such as licences, tickets, insurance certificates and safety paperwork) and the details in them, including expiry dates.
- Messages: emails and texts you send us.
- Basic site data: our website remembers the country you pick, in your own browser. We don't use advertising trackers.
Why we use it
- To tell you about early access and launch, which you've asked us to do.
- To run the products you sign up for, including expiry reminders and sharing your Gatecard with the people you choose.
- To reply to you and keep business records.
If you're in the UK, Ireland, the EU or Jersey, our legal basis is your consent for early access emails, and performing our contract with you once you use a product.
Who we share it with
We don't sell your information. We share it only with services that help us run Cleared for Site (such as our website host, form and email providers, and, after launch, payment and storage providers), and only as much as they need. Some of these are outside your country, including in the United States and Australia. Where the law requires it, we use appropriate safeguards for those transfers. When you share your Gatecard link or QR, the people you share it with can see the documents you've chosen to show.
How long we keep it
We keep early access details until launch, or until you unsubscribe or ask us to delete them. Product data is kept while your account is open and for a reasonable time after, unless the law requires longer.
Your choices and rights
- Unsubscribe from any email, any time, using the link in it or by emailing us.
- Ask for a copy of your information, or ask us to correct or delete it.
- If you're unhappy with how we handle your information, tell us first. You can also complain to your local regulator, such as the OAIC in Australia, the ICO in the UK, the Data Protection Commission in Ireland, the Office of the Privacy Commissioner in New Zealand or Canada, or the JOIC in Jersey.
Changes
We'll update this page if anything changes, and tell you by email before a change that affects how we use information you've already given us.
